This policy explains what personal data Mailon collects, why we collect it, how we use and protect it, and the choices you have — including the cookies and analytics we use and how to change or withdraw your consent at any time.
Mailon is an AI email autoresponder operated by Mailon. We are the data controller for the personal data described in this policy. For any privacy question or to exercise your rights, contact us using the details at the end of this page.
Account data: your name, email address, and authentication details when you sign in with Google, Microsoft, or email and password.
Mailbox content: the emails your connected mailboxes receive and the replies Mailon drafts and sends on your behalf, plus the knowledge-base content you provide to ground those replies.
Usage and device data: how you interact with our website and app, collected via the analytics cookies described below, including approximate location, browser, and device type.
We use Google Analytics 4, loaded through Google Tag Manager, to understand how visitors use our site so we can improve it. These analytics cookies are set only after you click “Accept all” on the cookie banner — nothing non-essential runs before you consent, and declining keeps them off entirely.
The table below lists the cookies and similar storage we use:
| Name | Provider | Purpose | Retention |
|---|---|---|---|
| _ga | Google Analytics 4 (Google) | Distinguishes unique visitors | Up to 2 years |
| _ga_* | Google Analytics 4 (Google) | Persists analytics session state | Up to 2 years |
| mailon-cookie-consent | Mailon (local storage) | Remembers your cookie choice so we don't ask again | Until you clear it |
We process account data and mailbox content to provide the service you've asked for (performance of a contract). We set analytics cookies only on the basis of your consent, which you can withdraw at any time. Where we rely on legitimate interests — for example, keeping the service secure — we balance those against your rights.
We don't sell your personal data. We share it only with service providers who help us run Mailon — including Google (analytics and OAuth), Microsoft (OAuth), our hosting and storage providers, and the AI model providers that generate replies — each acting under contract and only as needed to deliver the service.
Some of our providers process data outside the European Economic Area, including in the United States. Where that happens, the transfer is protected by appropriate safeguards such as the EU Standard Contractual Clauses or an adequacy decision.
We keep your account data and mailbox content for as long as your account is active, and delete or anonymise it within a reasonable period after you close your account, unless we're required to keep it longer by law. Cookie lifetimes are listed in the table above.
Subject to applicable law, you can request access to, correction of, or deletion of your personal data; object to or restrict certain processing; request a portable copy; and lodge a complaint with your local data protection authority. To exercise any of these, contact us using the details below.
You can review or withdraw your cookie consent at any time — it's as easy to withdraw as it was to give. Use the button below (also available as “Cookie settings” in the site footer). Withdrawing turns analytics off and clears the analytics cookies on your next page load.
